Job Summary
The Event Assistant provides essential administrative and organizational support to the Meeting & Event Management team for both internal and external events across all species and business areas. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing details, and excels at creating order and efficiencies for a busy team. This position is hybrid with no travel required.
Key Responsibilities
Administrative & Organizational Support
•    Maintain team calendars, shared drives, timelines, and documentation to keep all event workflows organized and up to date.
•    Prepare meeting agendas, take notes, track action items, and support follow-up communication.
•    Assist with the management of event-related inboxes, requests, and internal communications.
•    Provide general administrative support to ensure smooth day-to-day operations for the events team.
Conference & Tradeshow Support (Office-Based)
•    Coordinate packing, shipping, and inventory of literature, giveaways, wearables, and tradeshow booth assets.
•    Track shipments and ensure materials arrive on time and in full.
•    Maintain detailed records of booth assets, inventory levels, and event materials.
Internal & External Event Coordination
•    Support the planning and execution of internal meetings by managing calendars, timelines, and logistics.
•    Assist with gathering specifications for meeting needs such as catering, audiovisual, room setup, and materials.
•    Organize and maintain documentation for all events to ensure alignment across the team.
Vendor & Invoice Management
•    Assist with collecting vendor quotes, tracking invoices, maintaining purchase order documentation, and coordinating timely payment processing.
•    Support team members in monitoring budgets and ensuring accuracy of event-related billing.
Sales & Field Force Support
•    Manage requests for literature, giveaways, and booth assets outside the national conference calendar.
•    Coordinate fulfillment, documentation, and shipment of materials.

  • Strong organizational skills with high attention to detail.
  • Experience in administrative support, event coordination, or a related function.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and strong comfort with digital organization tools.

•    Bachelor’s degree in Event Management, Hospitality, Marketing or Business Administration, preferred.
•    Experience in hotels, tradeshows, or events industry preferred.
•    Familiarity with event technology, vendor processes, or inventory systems is a plus.
