We are seeking a highly organized and detail-oriented Event Coordinator to join our team. This role requires excellent communication skills, creativity, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
- Conference Support: Assist with the setup and management of 10x10 and 10x20 booths at AH Conferences. This includes shipping literature and giveaways, coordinating booth schedules for final approval, and managing the shipment of booth assets from our Duluth office to various tradeshows.
- Communication and Coordination: Help with conference communication emails and coordinate wearable items for booth staff. Maintain inventory and manage the shipment of wearables.
- Housing and Logistics: Support housing arrangements for AH Conferences by requesting room blocks for smaller events, organizing rooming lists, and updating arrival and departure dates. Assist with hotel specifications, including organizing meeting specs, ordering catering and audiovisual equipment, and confirming banquet event orders to ensure everything is within budget.
- Vendor and Invoice Management: Keep track of vendor quotes and invoices, request purchase orders, and assist with the processing of payments.
- Sales and Event Requests: Handle requests for literature, giveaways, or booth assets from the sales force outside of the national conference calendar. Manage inventory and track requests.
- Event Giveaways: Collaborate with vendors to gather proposals and samples for event giveaways within budget. Assist with the purchase and shipment of giveaways to events.
- Internal Meetings: Organize and continuously update the calendar for all AH internal meetings.
Travel will not be required for this role
- Proven experience as an Event Coordinator or in a similar role.
- Strong organizational and project management skills.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Proficiency in Microsoft Office Suite.
Creative thinking and problem-solving abilities
- Bachelor's degree in Event Management, Hospitality, Marketing, or a related field preferred.
- Experience working in hotels or tradeshows preferred.
- Knowledge of current trends and best practices in event management.
